- We never contact your spouse, partner or family.
- We don't sell your information for money. We do use advertising cookies and pixels, and you can opt out of them.
- Our calls are recorded.
- You can ask to see, correct or delete your information at any time by emailing [email protected].
1. Who we are
This policy explains how Institute of Personal Development Limited, a company registered in Hong Kong (Business Registration Number 71559137), trading as The 4-Room Connection Method ("we", "us", "our"), collects, uses and protects personal information. It covers our website 4roomconnectionmethod.com, our forms, emails, text messages and calls, and our coaching program.
We are responsible for your personal information. Contact us about privacy at [email protected], or write to us at Office 4, 10/F, Kwan Chart Tower, 6 Tonnochy Road, Wan Chai, Hong Kong.
2. What we collect
What you give us
- Contact details: your name, email address, phone number and the country or state you live in.
- Your application answers, including your relationship situation, what you've tried and whether you're ready to invest in yourself.
- What you tell us on calls, by email, by text and in the program, and the recordings of our calls.
- Payment details. Card payments are processed by our payment provider, Stripe. We don't see or store your full card number.
- Anything else you choose to send us, such as feedback or a testimonial.
What we collect automatically
- Device and usage information: your IP address, browser, device type, approximate location, the pages you visit, how you arrived at the site and which ads you clicked.
- Information from cookies, pixels and similar technologies (section 8).
- Whether you open our emails and click their links.
What others give us
- Advertising platforms such as Meta, Google, YouTube, TikTok and X may tell us when someone who saw or clicked our ad visits the site or applies.
- Our payment and financing providers tell us whether a payment succeeded or financing was approved.
3. Sensitive information
To help you, we need to know about your marriage or relationship, and you may also tell us about your health, wellbeing, sex life or family. Some privacy laws treat this as sensitive or special category information. We collect it only with your consent, which you give when you submit your application, book a call or share it with us. We use it only to assess whether our program fits you and to coach you. We never use it to target advertising, never share it with advertising platforms, and limit who can see it to the people who coach you or support your coaching.
You can withdraw your consent at any time by emailing us. If you do, we may not be able to keep coaching you.
4. Information about other people
When you talk about your spouse, partner, children or others, we receive some information about them. We use it only for your coaching, keep it confidential, and never contact them. You're enrolling on your own, and we will only ever contact you.
5. How we use your information, and why
| What we use it for | Our reason (legal basis) |
|---|---|
| Reviewing your application, booking and holding your call | To take steps you asked for before a contract, and your consent for sensitive information |
| Delivering the program, coaching you and supporting you between calls | To perform our contract with you, and your consent for sensitive information |
| Taking payments, preventing fraud and handling chargebacks | To perform our contract, and our legitimate interest in protecting our business |
| Recording calls to keep an accurate record of what was agreed, train our team and resolve disputes | Our legitimate interests, and your consent where the law requires it |
| Sending The Titan Letter and marketing emails, and marketing texts if you've separately agreed to them | Your consent, which you can withdraw at any time |
| Running analytics and advertising, including showing our ads to people who visited the site or joined our list, and to similar audiences | Our legitimate interest in promoting our business. You can opt out at any time (section 8). |
| Improving the site and the program | Our legitimate interest |
| Meeting legal, tax and accounting duties, and enforcing our terms | Legal obligation, and our legitimate interest |
We use automated tools to send emails and texts and to sort applications, but we don't make decisions about you that have legal or similarly significant effects by automated means alone.
6. Emails and direct marketing
With your consent, we'll use your name and email address to send you marketing about our coaching program, The Titan Letter, our content and our events. Every marketing email has an unsubscribe link. You can also email us to stop all marketing. We may upload a scrambled (hashed) version of your email address or phone number to advertising platforms such as Meta and Google so they can show our ads to you, or leave you out of them, and to find people with similar interests. You can opt out of this at any time by emailing us.
7. Text messages
If you give us your mobile number, we'll send you automated texts about your application and booking, including call reminders and follow-ups after a call. We don't send you marketing texts unless you separately agree to them, for example by replying YES to a text that invites you to. Message frequency varies, and message and data rates may apply. Reply STOP to opt out, or HELP for help.
We don't share or sell your mobile number or text-message consent with any third party or affiliate for their marketing or promotional purposes. We share it only with the service providers that send our texts.
8. Cookies, pixels and analytics
Cookies are small files stored on your device. Pixels and tags are small pieces of code that tell a platform when you visit a page. We and our partners use them:
- to make the site work: our website, form and booking system (HighLevel), spam protection (Google reCAPTCHA) and payment fraud prevention (Stripe). These are essential and can't be switched off;
- to measure how the site is used: Google Analytics, through Google Tag Manager; and
- for advertising: the Meta pixel (Facebook and Instagram) and advertising tags from Google (including YouTube), TikTok and X. These show our ads to people who have visited the site and measure whether our ads work.
Your choices. You can opt out of analytics and advertising cookies at any time. You can:
- block or delete cookies in your browser settings;
- opt out of Google Analytics at tools.google.com/dlpage/gaoptout;
- adjust your ad preferences in your Meta, Google, TikTok and X account settings; and
- opt out of interest-based ads from many companies at optout.aboutads.info (US), youronlinechoices.eu (UK and EU) and youradchoices.ca (Canada).
Our site doesn't currently respond to "Do Not Track" browser signals.
9. Who we share it with
We don't sell your personal information for money. We share it only:
- with service providers who help us run the business, under contracts that require them to protect it and use it only for us. These include HighLevel (website, forms, bookings, emails and texts), Stripe (payments), Zoom and our phone provider (calls and recordings), Google (analytics), our email and file storage providers, and any program platform or community we use to deliver the program;
- with advertising platforms (Meta, Google, YouTube, TikTok and X) through cookies and pixels and hashed contact lists, as described in sections 6 and 8. This never includes your application answers or anything you tell us about your relationship;
- with a financing provider, if you choose to apply for financing;
- with our professional advisers, such as lawyers and accountants;
- with your bank or card issuer, if you dispute a payment, to show what you agreed to;
- if the law requires it, or to protect someone at serious risk of harm; and
- with a buyer or successor, if all or part of our business is sold or transferred, who must protect it in the same way.
Note for US residents. Some US state laws treat the use of advertising cookies and pixels as "selling" or "sharing" personal information, even when no money changes hands. In that sense only, we may "sell" or "share" device and browsing information with advertising platforms. You can opt out by blocking cookies in your browser or by emailing us with the subject line “Do not sell or share my information”. We don't knowingly sell or share the information of anyone under 18.
10. Where your information is stored
We're based in Hong Kong, and our service providers store information in other countries, mainly the United States. When we transfer your information outside your country, we take reasonable steps to make sure it's protected to the standard this policy describes, including by using providers that offer recognised safeguards such as standard contractual clauses. By using our services, you understand your information will be transferred in this way.
11. How long we keep it
- Applications and Marriage Diagnostic call recordings, if you don't join: up to 24 months after our last contact with you.
- Client records, payment records and your agreement with us: for 7 years after your program ends, for tax, accounting and legal reasons.
- Coaching call recordings: until 12 months after your Access Period ends.
- Marketing lists: until you unsubscribe. We keep a record of your unsubscribe so we don't contact you again.
- Anything relevant to a complaint, dispute or chargeback: until it's resolved, and for any time the law requires after that.
After that, we delete or anonymise it.
12. How we protect it
We limit access to people who need it, use reputable providers with their own security controls, use secure (encrypted) connections on our site, and protect our accounts with strong passwords. No system is completely secure. If a data breach is likely to cause you serious harm, we'll tell you and the relevant regulator where the law requires it.
13. Your rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct anything that's wrong;
- delete your information, unless we have to keep it for legal reasons;
- stop using it for marketing, or stop using advertising cookies;
- withdraw your consent, including for sensitive information; and
- explain how we've handled your information.
Depending on where you live, you may also have the right to object to or restrict how we use your information, to receive it in a portable format, and to appeal our decision on a request.
To make a request, email [email protected]. We may need to confirm your identity first. We'll respond within 30 days, or sooner where the law requires. We won't charge you or treat you differently for using your rights. We may charge a reasonable fee for a copy where the law allows it, and we'll tell you first.
Complaints. Please contact us first, and we'll try to fix it. You can also complain to the privacy regulator where you live, such as the Office of the Privacy Commissioner for Personal Data (Hong Kong), the Office of the Australian Information Commissioner, the Office of the Privacy Commissioner of Canada, the Information Commissioner's Office (UK), or your state attorney general (US).
14. Children
Our site and services are for adults only. We don't knowingly collect information from anyone under 18. If you believe a child has given us information, email us and we'll delete it.
15. Changes to this policy
We may update this policy from time to time. We'll post the new version here with a new "last updated" date, and if a change is significant, we'll tell you by email.
